JOB DESCRIPTION: Executive Assistant to COO


Summary:

PICTURESTART is looking for a full-time Executive Assistant to support the Chief Operating Officer. In this role, you will be responsible for managing the day-to-day administrative functions, including scheduling, rolling calls, arranging travels, and corresponding with the rest of the company. The ideal candidate for this position is eager to learn the business side of the entertainment industry across both Film and TV at a fast-growing company. The ideal candidate will possess exemplary planning and time management skills, excellent communication skills, and the ability to operate in a resourceful and self-directed manner. This is not a beginner desk, so please only apply if you’ve had relevant entertainment or finance experience.


Responsibilities
  • Responsible for proactively managing and coordinating daily schedule, phone calls, contacts, travel arrangements, internal and external meetings

  • Arranges and schedules significant volume of meetings
  • Arranges domestic and international travel accommodations
  • Process expense reports in accordance with established policy guidelines tracking expenses and following up in a timely manner
  • Industry/competitive research
  • Creating, developing, and maintaining industry reports
  • Project and deal tracking

Qualifications


  • Bachelor’s Degree or equivalent experience
  • Minimum 1 year of finance, development or current assistant experience
    • Agency experience preferred, but not required
  • Experience with finance and excel modeling is strongly encouraged
  • Exemplary interpersonal skills including a professional in-person and virtual presence
